This year, Events With Amie coordinated and successfully pulled off four simultaneous events for a corporate client across four different states for a massive EOFY event launch. Here’s how we did it.
The Challenge: Coordinating four open day events with other brands involved, including coffee vans, food trucks, AV requirements, and organisational/procedural forms.
The Approach:
- Planning: Detailed planning sessions with the client to understand their vision and requirements. Including working alongside their operations team for site measurements and graphic designer for floorplans.
- Vendor Coordination: Utilising our extensive list of vetted vendors to ensure quality and reliability. Including the replacement of a vendor 2 weeks out due to a pull out. Coordinating food trucks, coffee vans, AV, photographers/videographers and exhibitors in Melbourne, Sydney, Brisbane & Perth.
- Logistics Management: Handling all logistics, including travel, setup, planning meetings, event managers in each location, timelines and breakdowns, coordination with national warehouse teams for prize draws and stock. Setup of showrooms and delivery of signage and marketing materials. Information packs to all exhibitors including noting staggered bump in times, height restrictions, and beyond.
- Legal Forms: Assisting the client with all necessary legal and logistic forms.
The Execution: With meticulous planning and coordination, we managed to execute all four events seamlessly, ensuring each one reflected the client’s brand and vision.
The Outcome: The events were a huge success, with positive feedback from both the client and attendees. This case study highlights our ability to handle large-scale, multi-location events with precision and excellence. The client couldn’t be happier and has already noted they are wanting to prepare for the events again in 2025 on an even bigger scale.
